Conditions stated below may change without notice.  Some changes may affect the conditions of your booking and your obligations, so to avoid any conflict or debate we recommend that you print this page for your own records and for proof should you need to dispute any new changes.  You should have a copy of this page printed  - with the printing date showing.  Otherwise any new changes that are made from now will be applicable to your booking.

Terms & conditions of the agreement between Cheeky Face and YOU!!

Simply by making a booking for Cheeky Face to provide a service you are deemed to have read and agreed to the following conditions.

Should you wish to cancel your booking at any time after reading these terms and conditions then we recommend doing so immediately.  Cancellation fees apply if you cancel your booking without sufficient notice (as described below).

Speed VS Quality at your event.
When it comes to the number of children (or faces) to be painted at your event we ask that you consider carefully the requirements for your event.  We do offer information at our website to help you determine approximately what numbers you will have painted based the number of hours you book and the number of face painters you hire to be there.  If balloon modeling is going to be expected of the face painter/s attending, then you also need to consider that this will take up approximately 1 - 2minutes per child (per balloonist) at least.  If you need to make more time for the ballooning then we recommend booking in more time before the date of your event and the sooner the better to increase the chance of it being possible to do so.

We will not speed up the painting to make it quicker.
Instead what we'll do is limit the design options to simpler designs that are still well painted
.
As far as lengthy queues goes it will not change the way we work. Our policy is to make sure we never sacrifice the quality of the work for the sake of speeding through large numbers of children. We ask that you discuss the requirements with us prior to your event to make sure we cater to the needs according to numbers and the type of designs offered. We have 3 main menu's which we can use to control the time it takes to paint the children. Quick designs, full face designs and medium or half face designs are separated into 3 menus. If you have a large number of children and only very little time (this can be due to your budget or restrictions out of your control) then we often recommend sticking to just quick designs and we offer these on the day and make sure the children only choose from the menu. Depending on the flow of the day we can become more flexible if needed but only if time allows us to do a more elaborate design. We will not speed up to fit a few more children in. At best we may offer a quick little butterfly or spider being the quickest designs we can paint well.

if you are not restricted by time or budget then we always recommend an open menu which allows children to choose freely from about 24 - 36 designs from 3 menus.  Usually it is unpredictable for us so we don't advise on what types of designs the children will choose but it seems that things generally tend to balance out with some choosing full face designs and others going with quick designs and others still choosing from the medium faces menu.

At large or public events it can be hard to determine what the requirement will be and we understand that.  However we cannot be expected to make up for the shortage in face painters if the queue is much larger than you may have expected it to be.  We will not speed up the face painting but we can remove designs that will take longer to do and make sure that only quicker designs will be painted.  You just need to let us know. 

Queue lengths can be misleading:
Unfortunately it is a reality of face painting that due to it's popularity the queues just tend to be a little long. It seems to us that no matter how many face painters we have there is never enough. We believe that what happens is that passers-by will determine whether they will join the queue based on how long it is plus there must be a shared or similar perception among parents, of how long it will take if the queue is say for example 20 metres long.  If it looks too long then people perceive it as such and if looks short then they'll wait in queue without hesitation where the reality is really based on the designs we paint and how still the children sit along with the other conditions that affect the time can take (like weather for example).  As incorrect as the general perception may be this almost keeps the queue numbers limited without our involvement.  Although you will still get 4 times as many people painted with 4 painters & the queue will move as fast as 4 painters can make it move we find that the waiting time is generally as long as though it was only 1 or 2 painters. This must be due to the perception of the queuing time based on the length of the queue as explained above.

We think then, that no matter how many face painters are working it is best to have just one queue with customers being able to choose their preferred painter when they get to the front (most people are happy to have any one of our painters paint them but some can be more particular). With just the one queue we think it will in itself, help control the numbers rather than having 1 queue per person which can often increase distress or frustration if one painter is painting more quick designs and getting through their queue quicker than others.  This can happen purely by coincidence or we can arrange to have a queue for quick designs only...

Offering a queue per menu:
If you would prefer to offer a fast queue and a separate longer queue (for more elaborate designs) then we can set-up that way but you need to consider a few things that may not jump out as obvious but are to us. 

  • Having 2 queues will take up more space and you need allow for it.
  • People may join the wrong queue which is usually only a problem if they have joined the fast queue and want an elaborate design instead of a fast one.
  • Some patrons may figure that joining the fast queue is a good way to get to the front of the queue before pretending they didn't realize & then complain about having waited so long and hope we'll allow them to have a full face painted instead.  This has happened in the past and it can upset others who have been waiting in the queue if we allow that to happen.  The best way to avoid this is to have signs clearly stating which queue is for which designs.  We have bollards with signage which we can bring to help you with queue management.  Click here for more about that.

Deposit:

We request a minimum deposit of $50 per booking ($50 per day if the booking is over more than one day and $50 per painter per day if the booking is for more than one face painter) to be paid ASAP to confirm & secure your time slot.  If paying by direct deposit please use the invoice 'CFI' number as reference when making the payment (eg. CFI-00105 or 00105).  This number is found at the top left corner of your invoice.

Until a deposit is received we reserve the booking time slot for you for 5 days (from the day you booked).  After that if we have not received your deposit or any communication from you regarding the matter we will make your time slot available again.  If you need more time please contact us to let us know. 

 

Deposit Guide:

1 painter/entertainer: $50 for every day that is booked

2 painters/entertainers $100 for every day that is booked

3 painters/entertainers $150 for every day that is booked

4 painters/entertainers $200 for every day that is booked

5 painters/entertainers $250 for every day that is booked

Canceling a booking:

If you want to cancel your booking at any time we need you to contact us ASAP.  To avoid paying a cancellation fee we need a minimum of 96 hours (4 days) notice prior to the event date This means that you must confirm it with a real person and not just send an email or leave a message hoping we'll get it.  You are welcome to email and/or leave messages but if we do not get back to you then we did not receive your communication so it is up to you to follow it up.

Cancellation fee is charged at $50 per painter per booking ($50 per painter per day booked if the booking is over more than one day).

WARNING!! - LATE PAYMENT WILL INCUR ADDITIONAL CHARGES.  READ PAYMENT TERMS BELOW.

Payment terms:

The balance or complete payment will be required either before the date of your event or within 7 days after the event date unless other arrangements are made prior to the date of the event. No payments can be accepted on the day.

Corporate clients may request that we adhere to their payment schedule but we need to know so be sure to tell us what that is in order to avoid being charged additional late payment fees.

LATE PAYMENT CHARGES:
Payment that is not made either before the booking date or within the 7 days after the event date will be subject to administration charges. Once the 7 days has expired we may at any time send you a notice with the following administration charges added to your invoice:

Payment not received by the 7th day and up to the 14th day will be charged administration fees of $25.00 if we are required to contact you by email, phone or post in order to remind you to pay at any time within this time.

If payment has not been received any time after 14 days regardless of any reminders sent or not sent, this will result in additional charges being applied.  If you have not already been sent a reminder then a $25 fee will be applied along with an additional charge of $15 for every week that the payment is late (this will take into account, the first week starting with the 8th day after the event date, up to the current date at which point payment has still not been made).

Exceptions to this rule:
Anyone who has written proof (email or letter) to show that we have agreed to personalised payment terms based on the preferences of the customer booking Cheeky face for their event.

Anyone who can prove that we have agreed to any other special arrangement.

You are responsible for payment:
If you have not provided an adequate billing address for posting and if you do not receive our email because of spam blocking issues or because you have provided us with an incorrect or old email address, then this can not be our responsibility and you will still be charged the additional fees for late payment.
All customers receive a booking confirmation with an invoice and payment instructions attached. If you do not then you need to contact us and tell us immediately or you will not be exempt from the additional late fees for late payment.

Accepting our booking means you have accepted these terms so please pay on time to avoid these additional charges being added.

 

If you need a receipt for your payment you will need to email us once you have paid otherwise a receipt will be issued at our earliest convenience.

Start & finish times:

We usually arrive between 15 – 30 minutes before the booked time so that we can set up.
Please let us know if there is anything we need to know such as opening times (if anything out of the ordinary) or where not to park our car etc.

Ending can be hard and especially when there is a continuous stream of children all wanting "just one more little thing".  Sometimes it is actually the adults who encourage the children so we really appreciate it if you could be aware that we always aim to finish on time.  Many times we will have other bookings to rush off to but even if that is the case each painter has a private life and they are paid for the time they spend there.  If the painter cannot finish on time due to having trouble ending the queue because the customer asks them to stay then we will charge for the additional time based on the following rates & conditions click here.

If for some reason the painter is late to start then extra time will be added to the end to make up the difference.  If for any reason this is not possible we will refund you for the portion of time the painter is late based on the rate you have been charged + 10%.  To receive a refund you should email us to notify us as our painter may not relay the information.  We will then confirm this with our painter and respond accordingly.

Breaks over long booking times:

Our painters will be happy to work constantly for the first 2 hours without a break. After that time each painter may need to stretch their legs, have something to eat or drink or go to the toilet.  Breaks are necessary to keep the painters comfortable and painting well.  Breaks are short and kept to a minimum.  For more about break times please contact us.

What happens when you decide to extend a booking on the day?

 

If you do need to extend we will charge $45.00 for every 30 minutes.

If you are unsure about how long to make your booking we must advise you that it may not be possible to extend your booking on the day or even if you wait for a time that is closer to the date as it may be too late to do so by then.

If you decide to extend your booking on the actual day (and if the face painter agrees to stay) then the additional service will be provided on a 'minimum requirement only' basis.  This means for example, that if there are 4 children to be painted (or in need of a balloon animal etc) and the face painter agrees to stay, that only those four children will be painted and once they are the painter will pack up and leave without delay.  You will be charged the minimum amount based on the hourly rate. (Min. booking time is 1hr and any additional time must be added in 30 minute increments).

 

It is very hard to predict if we will or will not be free to stay for longer at any booking unless you book that time initially and we confirm at that time of booking that we can stay for so long.  Anything other than that may leave you at risk and we can only agree to to take the chance with you, that we will not receive any bookings that will require us to attend another booking soon afterwards.  It may or may not happen and that is the best we can tell you.  If it does happen then the painter will not be able to stay unless there happens to be time enough between the two events.  That is to be determined on the day as described above and totally up to the painter to decide as they are the ones who will have to rush to make it to the next booking if they stay too long at yours.

 

If it is important to you to be sure you have enough time booked then we can only recommend that you book the time you think is necessary.  It may help to call us and discuss it with a Cheeky Face Painter.

Photographs:

Part of our service includes taking photographs of the faces we paint and then making the photographs available in the gallery on our website.  We also hand out our cards or or magnets to guests who have had their face painted. For more about our advertising on the job click here.
It may not be that all parents will agree to this and so we have made available, for such occasions where the parents will not likely attend the event, a permission slip that you can copy and print up for use with your particular function.  This is usually useful for events held at schools or clubs but is available to all if required.  
The permission slip also allows parents to indicate whether there are any skin allergies or other skin related irritations that need to be considered for their child.

Advertising limitations & associated charges:

 

Whenever Cheeky Face representatives work they will display our business cards &/or banner for general advertising purposes.  We will only use a banner if it is reasonable to do so and if it's not going to be intrusive in any way (usually only for large public events or if there is a need to attract attention to our location in large crowds).  

We also have our cards or or magnets sitting in a card holder on the table.  This is for guests who have had their face painted so that they know where their photo will eventually be available.  The general public is also free to take our cards or magnets which are displayed in a business card stand usually on the table where are working.  It is generally assumed that there will be no objection to displaying our promotional material advertising our services whilst we work.  If you do not want this to happen you must inform us before the day of your event.

 

Additional charges if we are asked not to advertise:

If it is required that we do not display any advertising material then we will be happy to do so however we will charge an additional fee to compensate for this.  Our work is what sells our service in most public situations and we rely on this to build our reputation and gain exposure.  Therefore we charge customers (agencies or other vendors) both for work we will lose as a result of not representing ourselves and for the prospective work the vendor will gain as a result of the service we provide (We are often hired to represent another agency and hence asked to re-direct service enquiries to them).   The additional fee is 25% of the first hour charged on the invoice for each painter hired (or other Cheeky Face representatives including balloonists, tattooists or hair braiders).

 

For example if you have hired 2 painters and the first hour rate for each is $125.00 then we will charge 2 x $31.25 ($62.50) if we are asked to suppress the advertising.

FREE web-page of photos.

A free web page including photo's of all the faces painted at the event is standard with every booking.  We can customize these pages for an additional fee starting from $50.  You can add a company logo and description of your service or personalize the page with the name and message in relation to the event for this price and for additional alterations the price will need to be negotiated.   You can see an example of such pages in the gallery of our website or click here for a sample of a basic corporate page displaying logo and description.

Shelter (Weather, Marquees & cancellation fees):

 

Where ever possible we ask that shelter be provided.  Often it is assumed that face painters can operate outdoors freely without bother but not so.  Obviously rain is no good but are you aware that both wind & sunshine can also be a problem? 

  • Direct sunshine will warm the make-up/face paint which softens it making it difficult to work with.  Sun can also be a problem for some painters when they are exposed directly for long periods of time without shade.  Not only due to heat related dehydration but also for skin concerns both for the face painter and for those waiting to be painted.

 

  • Wind can be fine when it's only a small breeze and if all the people we are painting happen to be bald.  If however we are working with people with long hair it can be a real frustrating time trying to paint the face of a person with their hair constantly flying into their face and in the way of the painting.  Moving it out often smudges the work we have done and the time spent keeping hair out of the face through out the day could be accumulated to paint quite a few more faces.  Hair bands and clips are only good for shorter hair.  Wind will also blow tissues and other equipment we use off the table and can lead to time being spent chasing things and cleaning up when we could be painting.  Believe it or not but a strong wind will also actually move the painter about which can make it tricky when trying to paint beautiful long swirls or spider-man webbing for example.

    In most cases we end up working in doors or on the verandah provided there is adequate protection but please be sure that you allocate a space for us that will give us as much protection as possible.  It will keep the face painters happy and those waiting in line.  A happy face painter is a good face painter.

  • Weather & cancellations (or cancellations on the day):
    Some kind of roof will be necessary whether it’s a large tree or gazebo. If you can position the face painter/s next a wall or some kind of wind break, then that will limit the chance of slowing down the face painters. If the weather happens to be perfect then we can manage without, however if the weather is unfavourable and we have no way of protecting the painter/s whilst they work, then the face painting will not be able to continue. In every case we will try and find a reasonable way to continue in bad weather to avoid canceling but ultimately you need to be sure the face painter is taken care of with regards to shelter and perhaps have a back up plan if your event is outdoors. 

Depending on the proportion of the booking time spent (at the time our service is forced to stop) cancellation fees may vary.
In the case that face painting is to stop anytime after a quarter of the way through a booking, then the full amount of the original invoice will be charged.  If the cancellation occurs either before the event starts on the date of your event OR any time within the first quarter of the total booking time then you will be charged quoted rate for the first hour of the booking OR for the first quarter of the total booking time, which ever is the greater (and you will be charged for each painter/balloonist/entertainer etc.) and then additional cancellation fees will be added as described in the section
'Canceling a booking'.   We offer the option of a marquee at an additional cost to prevent this, but we cannot guarantee you will need it so that is entirely up to you. 

 

Cancellation fees as described in the section 'Canceling a booking' will apply if the booking is cancelled prior to the day OR as mentioned above (if cancelled within the first quarter of the booking time on the day).



If you have a reliable marquee then there will be no problem with continuing in most weather conditions short of a hurricane.
If you do need a marquee we can arrange that at an additional cost and add it to the invoice. You may prefer to go direct to our supplier for a quote for yourself. If so the link at the top of this page will take you to their website.  If you arrange it through us you’ll get a 10% discount on the cost of the marquee. Otherwise mention that you found out about them from a Cheeky Face Email and they should offer you a good deal.

 

 

  • Marquees: If you are holding an outdoor event on a day that weather is questionable and protection in the form of walls, roof etc is not available then we need you to either provide a marquee or ask us to arrange to have a marquee there on your behalf.  (Cancellation fees apply if we cannot continue - click here for more about that). We will include the hire cost in the invoice for your booking and as we have a special agreement with our supplier we may be able to get one for you for less than what you can hire it yourself.  If you want more than one marquee for your event that should be easy.  We'll make sure it is arranged as far ahead of the date of your event as possible to minimize the chance of missing out.  We will confirm the booking of the marquee once availability has been confirmed with the supplier.  To see the range of marquees and to check prices visit our marquee suppliers website at:
